Using Microsoft Excel With Style


If you use Excel regularly, you may already appreciate what a powerful program it is and how well it deals with the data you need to work with, Style but many Excel users are also interested in making sure their data looks good. I’m willing to bet that very few of you are using Excel with style. Styles are one of the most underutilized features in Excel 2007 and 2010.

If you are a person who uses styles in Word, you may have looked at styles in Excel, roofing shook your head in dismay and moved on. I did that too, but when posed with the problem of using a custom date format in all of my workbooks without having to recreate it each time, I suddenly realized why styles should be used in Excel as well as Word. Let me share five reasons why you should format with styles in Excel.

1. Styles in Excel can contain up to six different attributes, one from each tab in the Format Cells dialog box

 

 

Consistency is always important if you want to increase the professional look of your work. Using an existing style that already has attributes assigned to it is a quick way to ensure that your formatting is consistent. The Quick Styles gallery in the Home ribbon, cinemay Styles group has a live preview so you can see what the cell will look like before you click to attach. Don’t worry about the name of the style. If you want your final totals to use the ‘Bad’ styles, no one will judge you or even know that is its name.

2. Styles can easily be modified

For example, Normal is the style that which all cells are assigned by default. It uses Calibri 11, bottom aligned, and locked with no borders or shading. If you want your font to be Arial 12, with the cells unlocked then all you need to do is modify the Normal style.

Bear in mind that any formatting that you did via the ribbon, digital marketing or right-click menu will not change if you modify a style. For this reason, if you use styles, try to keep manual formatting to a minimum.

4. New styles can be easily created

If you want to create a style of your own, as I did for my custom date format, I recommend that you go to a cell and format it the way you want it to look. Then while that cell is active, click on the bottom arrow to the right of the Quick Styles gallery and choose New Cell Style. The dialog box will open with all the attributes already in place so all you need to do is name the style and OK the box.

Styles that exist in one workbook can be merged into another one

Styles are available to all worksheets in a workbook, but merging your new styles into other workbooks is simple.

 

  • Open the workbook that contains your custom style
  • Open the workbook you want the style to appear in and ensure this is the active workbook

  • Choose Merge Styles

 

The workbook that contains the date style should be listed in the dialog box that opens.

 

  • Highlight the workbook in the list and click OK
